JOB DESCRIPTION

Maintenance Coordinator – Newcastle

This award-winning FTSE 250 property company require a Maintenance Coordinator to join the property management team in Newcastle. Ideally you will have previous experience within Lettings and experience in customer service is essential!

You will be working from brand new offices in Newcastle City Centre and will be joining a business where workplace culture is key!

 

Duties

  • Professionally and proactively support Portfolio Managers’ to manage residential property portfolios comprising of mixed tenures, in accordance with the company’s management strategy, policies and procedures, legal and budgetary requirements
  • Provide a professional and proactive internal point of contact for all tenants, general public, professionals, contractors and other departments
  • Management of day to day property management service calls and customer enquires including via email and the customer portal
  • Effectively manage contractors and the instruction of works, making sure that all appropriate information is passed to the contractors
  • Arrange property inspections as and when required
  • Ensure the delivery of high levels of customer service at all times
  • Support Out of Hours (OOH) calls and maintenance issues as and when required
  • Resolving repairs over the phone with soft fix and self-help solutions
  • Managing and trying to resolve any incoming complaints via telephone, email or via the resident portal
  • Recommend options and opportunities to improve the performance of the property portfolio
  • Complete rent review and lease end submissions and oversee management of rent arrears
  • Assist with the set-up of new properties on purchase and integrate into the systems
  • Prepare documentation for FTT Tribunals
  • Instruct revenue and capital expenditure works in accordance with agreed approval limits and ensuring that tenants receive regular updates and appropriate aftercare contact
  • Pursue and obtain estimates from contractors in a timely fashion ensuring that tenants are kept fully updated
  • Produce all correspondence as required - letters, emails, mail merges and reports
  • Obtain, record and maintain all necessary compliance reports, certificates and documentation
  • Liaise with letting agents regarding new tenancies, ensuring keys are in place, that the property is ready for new tenants, all appropriate compliance and legal documentation are in place
  • Deal with check out reports, deposit releases and management of tenants during the move out process
  • Manage insurance claims
  • Produce and support the compiling of all necessary documentation for pre-contract enquiries
  • Managing and dealing with all enquiries relating to covenants, rights to alter and any other related requests as and when required

 

You

  • Minimum of two years previous experience working in a similar role
  • Knowledge of Landlord and Tenants Act and Housing Acts and the ability to understand when legal advice is necessary and interpret
  • Good technical knowledge and ability on construction and repair/refurbishment of residential property
  • Relevant professional qualification/membership of recognised professional body preferred
  • Ability to understand, manage and deliver revenue expenditure in line with budgets
  • Knowledge of Health and Safety legislation and understanding areas which can affect the business within property management
